This Privacy Notice describes how the ClassWeb application (“Service”) collects, uses, and shares your personal data in compliance with the EU General Data Protection Regulation (GDPR) and other applicable laws.

2. Data Controller

Georgia Institute of Technology is the data controller for the personal data processed through this Service.

3. Personal Data We Collect

We collect and process the following categories of personal data:

• Identifiers: Name, Email Address, GTID, and User ID provided via ADFS Single Sign-On.
• Usage Data: IP addresses, browser types, and activity logs related to room checks and service requests.
• Integration Data: Information retrieved from third-party services like Microsoft Office 365 and LibCal for scheduling purposes.

4. Lawful Basis for Processing

We process your personal data under the following lawful bases:

• Legitimate Interests: To maintain classroom and conference room AV services and ensure operational efficiency.
• Contractual Necessity: To fulfill service requests and maintain user accounts for authorized personnel.

5. Data Sharing and Recipients

Your personal data may be shared with the following recipients solely for the purpose of providing the Service:

• ServiceNow: For incident tracking and asset management.
• Microsoft: Via Office 365 Graph API for calendar integrations.
• Springshare (LibCal): For room booking management.

6. Your Rights

Under GDPR, you have the following rights regarding your personal data:

• Right of Access: You can view and export your profile data via the 'Download my Personal Data' feature in your user dashboard.
• Right to Rectification: You may request corrections to inaccurate data.
